During onboarding and offboarding, Smart Assignment recommends what Workflows, Profile Templates, and Documents to apply based on a given team member’s Location, Department, and Employment Status.

1. Quick Preview

2. How Smart Assignment works?
With Smart Assignment on, Sapling will recommend matching Workflows, Profile Templates, and Documents on the Assign Activity step given the team members Location/Department/Employment Status.
For example: a new hire is joining the marketing team as a full-time team member in your Sydney office. When you kick off their onboarding process, Smart Assignment will automatically recommend the best Profile Template, Workflows, and Documents to assign. In this case, our matching algorithm is based on those tagged with “Sydney / Marketing / Full Time.”
3. Prerequisites to using Smart Assignment
Sapling's filters are default assigned to “All Locations / All Departments / All Employment Statuses.”
In order to maximize efficiency with Smart Assignment, navigate to Workflows, Documents, and Profile Templates and update these filters to match what team members they apply to. This is also a great opportunity to rethink the specific activities and content you want individual groups to complete!
*Note: in many cases, these filters might apply to multiple Locations, Departments, and Employment Statuses. When that’s the case, we’ll still make recommendations based on the content that might apply to that team member even if it’s not a direct match.
4. Smart Assignment in the Onboarding Flow
When onboarding a new team member, you can activate Smart Assignment by scrolling to the bottom of the “Create Profile” step of the onboarding flow. Use the toggle to turn these suggestions on or off for the rest of the onboarding process.
5. Smart Assignment in the Offboarding Flow
When offboarding an existing team member, you can activate Smart Assignment by scrolling to the bottom of the “Confirm Team Member” step of the offboarding flow.
Use the toggle to turn these suggestions on or off for the rest of the offboarding process.
6. What’s Next?
We’re constantly fine-tuning our matching algorithm – so if you delete a recommendation or add a new one we didn’t recommend, we’ll likely ask you to share more detail.
